Terms of Use, Services and Academy Courses

2026-11-05-terms-v7

This page explains the terms for dealing with VERBINDIX. Choose the part relevant to your requested service. The provisions for pharmacy owners or Academy students apply to their respective dealings and do not impose those obligations on other users.

Part One: General Provisions and Pharmacist Services

1. Using the website and requesting services

These terms explain how to use the VERBINDIX website, request our services and enrol in Academy courses. Service-specific provisions apply when you request that service.

The service is provided by the provider identified in the service offer and its provider details. You can contact us at contact@verbindix.com.

Visiting the website, submitting an enquiry or uploading a document does not mean purchasing a service or agreeing to pay fees. Every paid service requires a clear offer and your acceptance, as explained below.

2. Free services and placement fees

We provide pharmacists with a free initial consultation and a CV in the German format, based on the information they give us.

We do not charge pharmacists any fee for arranging their employment. The pharmacy owner pays our placement fee under a separate agreement with VERBINDIX.

Receiving these free services does not require purchasing a course, agreeing to marketing messages, joining WhatsApp groups or permitting us to retain a profile for future job opportunities. These are separate, optional choices.

Follow-up after starting work

For candidates who obtain employment through our placement service, the service includes the agreed follow-up concerning the start of work, communication with the employer and support needs arising afterwards.

We explain the scope, duration and contact arrangements to the candidate. The pharmacy owner's obligations and the fee payable by the owner are agreed in our agreement with the pharmacy. Coordination with the employer follows the appropriate data-sharing safeguards.

This follow-up is not indefinite support or a commitment to provide every additional service without agreement, and is not an automatic benefit of enrolling in an Academy course. Any additional paid service chosen by the pharmacist requires a separate offer and acceptance. Placement fees remain payable by the pharmacy owner.

3. Additional paid services

You may choose additional paid services, such as translation, coordination of document certification, procedural assistance, and support with settling and integration in Germany. We send a separate offer explaining the service and the amount payable to VERBINDIX.

Before you accept, the offer explains:

We do not add new costs without your prior agreement. We do not charge pharmacists placement fees under another service name; the actual nature of the service matters, not just its name.

Procedural assistance does not mean we are a certification authority, sworn translation provider or legal advisory practice. Where a service requires a particular licence or professional qualification, that part is performed by an appropriately qualified person or organisation.

4. Accepting an offer, payment and withdrawal

Enquiry, application-tracking and upload forms do not, by themselves, create a payment obligation.

For a paid service, we send a numbered offer stating its validity period, the service, the price and how to accept it. We provide the terms and applicable withdrawal information in a form you can save.

The agreement is concluded using the method stated in the offer, meeting any signature or form requirements imposed by law for that contract type. Before you accept a paid request, we explain what you are agreeing to and the amount due.

Right of withdrawal

For consumer distance contracts carrying a statutory right of withdrawal, the period is generally 14 days. The law determines when it starts and which information must be supplied. Payment, accepting an offer or attending the first class does not, by itself, remove this right.

Before concluding a paid contract to which this right applies, we provide its details, instructions, the model withdrawal form and the provider's address.

If you want us to begin before the withdrawal period expires, we request this separately and explain the consequences. Starting the service alone does not extinguish the right. Payment for work already performed may become due where the legal conditions are met. Completion alone likewise does not extinguish the right unless the necessary legal conditions are fulfilled.

Rules governing digital content do not automatically apply to a live class or a contract combining different service types.

5. Required information and responsibility for services

Please provide information that is accurate to the best of your knowledge, correct errors you discover and check your CV before using it.

Do not submit forged documents, another person's files without permission or legal authority, or patient data unnecessary for the service.

We undertake to perform the agreed service with care. We do not guarantee employment, a visa, recognition of qualifications, professional authorisation or examination success. Decisions are made by employers and the competent bodies.

We are liable under applicable law for breaches of our obligations and damage for which we are responsible, including acts of our representatives and persons engaged to perform the service, as applicable in each case.

Your statutory rights concerning data protection and compensation, service performance, remedies for defects, withdrawal and cancellation remain unaffected as applicable to your circumstances.

6. Your data and acceptance of the terms

The privacy policy explains processing purposes, legal bases and your rights. Accepting these terms is not consent to marketing or to using your data for any purpose whatsoever.

A link to these terms in the website footer does not mean you have accepted them.

When a requested service requires acceptance, we show links to the terms and privacy policy beforehand. A single checkbox may appear, not selected in advance, with this wording:

“I agree to the terms and conditions applicable to the requested service and acknowledge that I have read the privacy policy.”

For course enrolment, we also present a clear confirmation of the selected course details, price and duration. A general page that may change is insufficient; acceptance is linked to the details shown at enrolment.

This checkbox combines acceptance of service terms with acknowledgment of the privacy policy. It does not grant blanket consent for data use, or create a purchase outside the offer and acceptance steps in section 4.

We retain evidence of acceptance linked to the customer, service, accepted text, version, language and date, in accordance with the privacy policy.

The following steps remain separate when required for the service:

The terms checkbox does not combine these steps into one blanket authorisation.

Updates do not automatically change existing contracts retrospectively. We notify you and seek acceptance when required by law or agreement.

7. Protection of content, documents and confidentiality

What content is protected?

We protect our rights in original teaching materials, recordings, presentations, templates, databases and internal documents, and in materials licensed for our use, to the extent protected by law.

You may use them personally within the agreed service. Scientific facts, general knowledge and your personal documents do not become our exclusive property simply because they appear on our platform.

What must not be shared or published?

Without appropriate prior permission, protected materials must not be published, sold, made available to others or distributed. This includes video, audio, screenshots, images, paper and digital files, sharing accounts or access links, removing rights-protection markings or bypassing protection measures.

Classes and participants must not be recorded or filmed, content rebroadcast, or materials uploaded to public platforms or AI tools that disclose them to unauthorised people or organisations. Permission to download or print materials for study is not permission to distribute them.

Authorised uses and statutory rights and exceptions remain unaffected, including quotation, private use or providing evidence to a competent body, subject to the applicable legal conditions. This section does not prevent you from using your knowledge and skills.

Confidentiality

Users must protect other people's data and non-public commercial or operational information identified as confidential or evidently confidential by its nature.

Not every message or document is automatically confidential. You may keep your contracts, invoices and data and provide them to a professional adviser, regulator or court as necessary and legally permitted.

Does this prevent criticism or complaints?

No. You may express an opinion, post a lawful negative review, truthfully describe your experience, or make a complaint, report, witness statement or legally protected disclosure. You do not need our permission or to contact us first. We do not make service delivery or repayment of an amount due conditional on deleting a lawful negative review.

Deliberately publishing false factual claims, unlawful threats or insults, or unlawfully disclosing personal data or confidential information is prohibited.

Consequences of a breach

We examine the circumstances before acting. We may request that unauthorised publication stop and content be removed, restrict access where demonstrably necessary, issue a warning where needed, or pursue compensation and other statutory remedies.

Action must be proportionate, respect the user's right to object and preserve statutory rights. We do not impose an unagreed automatic fine, automatically retain all fees, or treat criticism alone as a breach.

8. Complaints and amicable dispute resolution

Send complaints to contact@verbindix.com with your request or enrolment reference, if available, so we can investigate and seek an appropriate solution. Your right to complain to a competent body or bring court proceedings remains unaffected, without needing our permission or contacting us first.

We are willing to participate voluntarily in consumer dispute resolution before the following body, where the dispute falls within its jurisdiction and meets its admissibility requirements:

Universalschlichtungsstelle des Bundes – Zentrum für Schlichtung e.V.

Straßburger Straße 8, 77694 Kehl am Rhein, Germany.

Website: www.universalschlichtungsstelle.de

Participation does not mean accepting a settlement proposal in advance. Any statutory obligation to participate remains applicable.

If a consumer-contract dispute cannot be resolved directly, we provide the legally required information about the competent dispute resolution body, including its address and website, and our position on participation in that dispute, in a message you can save, in accordance with §37 VSBG. Participation does not remove the right to bring court proceedings under applicable law.

9. Applicable law, jurisdiction and language

Applicable law

These terms and contracts concluded under them are governed by German law. For consumers, this choice does not deprive you of protection under mandatory rules that would apply without that choice, including those of your country of habitual residence where the conditions for their application are met.

Jurisdiction

Jurisdiction follows the rules applicable to the dispute. These terms do not require consumers to sue in Frankfurt or waive any court available under the law.

For pharmacy owners and professional clients, a separate agreement may designate Frankfurt courts only where such an agreement is legally permissible and meets the legal requirements. Residence outside Germany or the EU alone does not establish agreed jurisdiction.

For disputes concerning a distance-learning contract subject to FernUSG or its existence, the special jurisdiction rule in §26 must be observed. A general business jurisdiction agreement for Frankfurt does not override that rule; departures are permitted only in the cases and form allowed by law, taking account of applicable international jurisdiction rules.

Language and understanding

These terms are available in Arabic, English and German, and we work to keep their meaning consistent. Translation is not used to impose obligations different from those explained to the customer.

Any discrepancy is interpreted under applicable law and the parties' valid agreement, preserving consumer rights and legal rules on ambiguous terms. The German version alone does not override statutory customer protection or the wording presented to and accepted by the customer.

10. Employment information for placement from abroad into Germany

When arranging employment in Germany for a jobseeker abroad, we provide the information required by §299 SGB III at our expense before the employment contract is signed.

It is provided in writing in the jobseeker's language or a language they understand, covering the employer's identity and address, employment start and duration, location and duties, hours, pay and deductions, leave, termination notice periods, applicable agreements, and advisory services with current contact details.

Acceptance of the privacy policy or these terms does not replace the individual job information. Acknowledging receipt neither requires accepting the job nor waives any rights.

Part Two: Terms for Pharmacy Owners

These provisions supplement the general provisions for business dealings with pharmacies. The specific agreement sets out service details and fees.

11. Cooperation requirements, fees and candidate-file confidentiality

The person dealing with us must be authorised to represent the pharmacy and provide accurate information about the vacancy, requirements and employment conditions.

Our offer and pharmacy agreement specify fees, taxes and when payment becomes due. If replacement of a candidate is agreed, its conditions are stated there. No replacement guarantee is assumed without agreement.

Where follow-up after starting work is included, the agreement specifies its scope, duration, both parties' responsibilities and price. The candidate is informed of the follow-up included in their service under section 2.

Candidate files may be used only to assess the candidate for the opportunity for which they were sent. Access is limited to people who need it for that purpose. Publication or redistribution requires appropriate permission or a legal basis.

Receiving a candidate file does not mean the pharmacy acts on VERBINDIX's behalf in every use of the data; the pharmacy may bear independent responsibility. Our agreement cannot remove the candidate's rights.

We do not claim any part of the placement fee from the pharmacist. The pharmacy owner must not pass this fee or any part of it to the pharmacist, whether through salary deductions or a repayment requirement. Fee protection and non-circumvention rules are defined in the pharmacy agreement within reasonable legal limits.

12. Candidate contact and protection of our fee entitlement

Where the pharmacy agreement provides for it, the pharmacy owner coordinates contact and interviews with candidates introduced by VERBINDIX through us, unless we agree in writing to direct contact.

Candidate data must not be used or sent to others to bypass VERBINDIX or avoid agreed fees. If the candidate contacts the pharmacy directly, the owner informs us without undue delay so follow-up can be coordinated.

If our introduction or placement work leads to employment, the agreed fee entitlement remains even where contact or signing occurs directly between pharmacy and candidate. The agreed fee conditions must be met and our introduction or placement must have contributed to the employment.

Before an identifiable candidate file is sent, the pharmacy must have accepted the agreement containing these obligations. It specifies the fee, when it becomes due and payable, and any agreed protection period after termination. Visiting the website or receiving a file alone does not create unspecified fees.

If the pharmacy already knew the candidate, or considers the employment unrelated to our services, it informs us and provides available evidence for consideration. We do not assume every later employment resulted from our work merely because it occurred.

We may seek compensation for proven loss caused by a contractual breach under applicable law. The same loss is not compensated twice. This section imposes neither an automatic penalty nor a permanent prohibition on contact.

It does not restrict the candidate's freedom to choose employment or prevent necessary communication with the employer after starting work or to fulfil a legal obligation.

Part Three: Academy Course Terms

Academy courses are optional paid educational services independent of placement. Enrolment is not a condition of free placement services. The enrolment offer identifies the course provider and applicable conditions.

13. Course details, prices, payment, classes and recordings

Before booking, the offer explains:

Course details, prices and duration

Each course's price, duration, schedule and content appear on its Academy page and in its enrolment offer. We show these details or a direct link before acceptance, stating the total price, taxes and any other applicable charges.

Prices, durations and dates may change for new enrolments. Your enrolment remains governed by the details presented and accepted when the agreement was concluded. A page update alone does not change an existing enrolment's price, duration or content. Accepting these terms is not advance acceptance of later increases or changes.

We retain a dated copy of the accepted course details, price, duration and terms with your enrolment and provide a confirmation you can save. Changes to an existing agreement require a basis permitted by law and the agreement, notice and consent where required, while preserving your rights.

Course contract and payment

If FernUSG applies, the contract is concluded in the required text form, containing the student's named acceptance and capable of being saved and retrieved.

The contract explains teaching and learning support, material availability, certificate type and external examination entry conditions where applicable. We provide the agreed materials, monitoring, marking and guidance required by the course and law.

For FernUSG courses, instalments cover periods of no more than three months each. An instalment does not exceed the proportion of the price corresponding to that period relative to course duration. We do not require higher instalments or prohibited advance payments. Statutory exceptions apply only where their conditions are met.

We do not add registration fees, commissions or other ancillary charges prohibited by this law, or require purchases unrelated to the course objective. Genuinely independent services are not used to circumvent these rules.

We do not impose contractual penalties or fixed damages for breach in a contract subject to this law, or require waiver of non-waivable rights.

Classes are live and interactive. Where recordings are included, study recordings are available only to students in the same group, subject to applicable course requirements.

The study version contains only the teacher's explanation and slides, without student data. Where recording a student's participation is needed, we explain the details and obtain appropriate permission separately. We do not guarantee recording every interaction or continued recording during technical faults, and do not replace an agreed live class with video without a legally permissible agreement.

Each student watches their group's recordings through their personal account. Access ends on the earlier of:

The offer specifies the course end date. Another examination or a resit does not automatically extend access. Where proof of passing is needed, we request only what is necessary, without unnecessarily collecting the full result.

Ending recording access does not close the student's account or remove other services. One student's success does not trigger deletion for the group. We delete the viewing copy within seven days after the last entitled student's access expires, unless a specific documented legal reason requires retention with restricted use. Backups are governed by the privacy policy and relevant legal exceptions.

Certificates, accreditation and funding

The course page and offer explain certificate type, award conditions and any actual accreditation and its scope. A completion certificate is not itself a professional licence or substitute for an official examination unless the offer validly explains otherwise.

Enrolment guarantees neither external examination success nor funding. Funding depends on the funder's conditions, student eligibility, and provider and course accreditation where required. Distance-learning licensing requirements remain separate from funding accreditation.

Where FernUSG applies, mandatory student rights take precedence over these terms and the specific offer.

These terms neither exclude nor limit the student's statutory compensation rights under that law, nor impose a contractual penalty or fixed damages contrary to it.

14. Course cancellation and refunds

The withdrawal rights in section 4 apply in addition to the following provisions.

Cancellation before the course starts

We offer the following cancellation policy as an additional benefit alongside your unaffected statutory rights.

If you cancel before the course begins, we refund the course fee within 14 days of cancellation confirmation without a fixed cancellation charge.

If you ordered another independent service that has already started, its cost is handled under its own agreement and statutory rights. Its fees are not deducted automatically merely because it relates to the course.

Cancellation after the course starts

You may request cancellation of the remainder. We refund the proportion of the offer price attributable to units not provided and scheduled after receipt of your cancellation request. We do not retain the entire payment or charge for a class we have not provided.

This does not refund classes already provided as agreed merely because you missed them. It does not restrict other statutory refunds, including for defective performance or statutory withdrawal.

Mandatory FernUSG provisions take precedence over conflicting terms.

How to cancel and distance-learning rights

Send your cancellation in a saveable text form, such as an email to contact@verbindix.com identifying your enrolment. We do not require a paper signature simply to submit it.

For FernUSG courses, statutory termination rights, including §5 and termination for good cause, remain unaffected. Our additional cancellation right applies where more favourable. These terms do not impose worse notice periods or costs than the law. On termination, only amounts permitted by law and a valid agreement for services provided are due; enrolment does not automatically make the full fee payable.

If a required course approval ceases to apply after the contract is concluded, we notify the student of termination rights under §7 FernUSG in the legally required way. This general clause does not replace the individual notice required in that event.

Absence or cancellation by us

Missing a class delivered at the agreed time and in the agreed manner does not cancel the course or automatically entitle you to a replacement individual class. Recording access follows the recording policy; interactions never recorded cannot be guaranteed.

If we cancel before the course starts, we refund its fee. If we cancel a class, we offer a suitable alternative date or refund the undelivered portion where no appropriate solution can be provided, taking statutory rights into account.

Statutory rights, including termination for good cause and remedies for defects, remain unaffected.

15. Use of course materials

You may use materials we own or are licensed to provide for your personal study within the course. This permission is personal, does not transfer ownership and does not let you authorise others to use them.

Without permission, you must not publish or sell materials, share accounts or access links, record or rebroadcast classes, or upload protected materials to platforms or AI tools making them available to others. Section 7 provides details.

This does not prevent using acquired knowledge and skills, making complaints or exercising lawful rights. Scientific facts and general knowledge do not become our exclusive property because we teach them.

We verify our right to provide teachers' and third-party materials before distributing them. Suspected breaches are investigated and addressed proportionately, without automatic fines or automatic exclusion from all services, respecting statutory rights.

16. WhatsApp groups and discussion

Joining WhatsApp groups is optional. Groups are not the only channel for essential instructions; we offer email or portal alternatives, as available.

Before joining, we explain that names, pictures or phone numbers may be visible to members depending on group type and service settings. We do not assume numbers are hidden in every group.

Do not post personal files or patient data, or share colleagues' data or materials without appropriate permission or authority. Leaving a group does not guarantee deletion of copies held by others.
